What this guide helps achieve

  • Identify the visual’s role
  • Write for context
  • Explain complex content
  • Check the published version
  • Maintain each edition

Quick check

  • Must every detail be described?
  • Is automatic description enough?
  • How should a chart be handled?

Step-by-step method

  1. 01

    Identify the visual’s role

Distinguish informative photos, charts, text in images and decoration. Describe information needed for the message. A promotional caption does not automatically describe the image.

    Output: Role and essential information.

  2. 02

    Write for context

Explain the useful subject, relationship or action without inferring identity, emotion or unsupported facts. For a meme, preserve the text and context needed to understand it. Avoid keyword lists.

    Output: Contextual description.

  3. 03

    Explain complex content

For charts, provide conclusion, units, period and essential data. Check each carousel image and the sequence of ideas. Put complete explanation in the post or linked page if the short field is insufficient.

    Output: Complex-data explanation.

  4. 04

    Check the published version

Review the platform’s current behaviour, per-image descriptions and final output. Test screen-reader access and crops. A scheduling tool may not preserve every authored field.

    Output: Published-version acceptance.

  5. 05

    Maintain each edition

Review numbers, names and alternatives after translation or edits. Identify fictional illustrations. Never turn an explanatory created scene into evidence of a real event.

    Output: Language and transformation review.

These proposed cases are not client observations. Adapt data, permissions and acceptance criteria to your authorised environment.

Situation to exerciseResult to checkEvidence to retain
A poster contains the date, place and registration link only in the image.Put useful information in accessible post text; adapt the alternative to the image role.Post reviewed without displaying the image and successful registration task.
A decorative image repeats adjacent text exactly.Avoid unnecessary repetition where the channel supports an appropriate alternative; check the actual reading experience.Adjacent text, role and real reading in the channel.
An export includes media but omits its alternative text.Document the loss and separately retain text and associations needed for republishing.Reconstructed export, missing fields and replacement archive.

Frequently asked questions

Must every detail be described?

No. Preserve what serves message and task. Decorative detail can distract from useful information.

Is automatic description enough?

Review it. It can miss text, units, relationships and context or add unsupported details.

How should a chart be handled?

Provide a short description and essential data; do not replace numbers with a vague judgement.
